Forecasting and recording a new data centre
The situation
We're setting up a new data centre and needed a financial forecast for the project before spending a cent.
How we did it
1. AI research
Grok researched what the data centre needs and produced a CSV listing every piece of equipment and software, with item codes and prices.
2. Memorandum Ledger import
We imported that CSV into the SimplicityERP Memorandum Ledger. This is a separate part of the transaction file, so forecast entries never mix with actual books.
3. Allocate and post
Each imported line was allocated to the right asset account and posted. That gave us a forecast financial plan straight away.
4. Goods received note
A goods received note was generated in the same step, with every line already allocated.
5. Post on arrival
When an item arrives, we post its line on the goods received note. SimplicityERP then creates the real transactions in the financial ledger, debiting the asset or expense account and crediting accounts payable.
Why it matters
- Planning and recording are done once. The same data serves as the forecast and as the actual entries.
- You can compare forecast with actuals at any time, because both sit in the same system.
- There's no re-keying when goods arrive, so you get fewer errors and a clean audit trail from plan to payable.
- AI research feeds straight into the ERP through a simple CSV import.
