Privacy Policy

How we handle your personal information when you visit this website or contact us, in line with the Protection of Personal Information Act (POPIA).

Effective date: 11 October 2026

In short: this website has no accounts, no advertising and no analytics or tracking tools. We only receive personal information when you choose to contact us (by the contact form, WhatsApp, email or phone), and we use it to answer your enquiry and to provide sales and support. We do not sell it.

1. Who we are

This website is operated by Loctiq (Pty) Ltd, trading as Simplicity Accounting / SimplicityERP (registration number 2016/171113/07). Under POPIA we are the “responsible party” for the personal information described here.

2. What we collect and why

How you contact usWhat we receiveWhy we use it
Contact form on Contact Us Your name, email address and message To reply to your enquiry and, where relevant, to give you sales information, a demonstration, a quote or support
WhatsApp Your WhatsApp number and profile name, and the message you send (the website pre-fills it with the name, email and message you typed into the form, which you can edit before sending) As above
Email or phone Your email address or phone number and whatever you choose to tell us As above
Simply visiting the site Technical data your browser sends with every request, such as your IP address, browser type and the page requested To deliver the pages and keep the site secure and working (see section 4)

Please don’t send us sensitive (“special”) personal information, such as health or ID details, through the form or WhatsApp. We don’t need it to answer an enquiry.

We only use your information for the purpose you gave it to us, or for a closely related purpose you would reasonably expect, such as following up on a quote you asked for.

  • Your consent: you choose to contact us and give us your details.
  • Taking steps towards a contract: when you ask for pricing, a demonstration or an evaluation, we need your details to respond.
  • Our legitimate interests: running a secure website, answering business enquiries and supporting existing customers, in a way that doesn’t override your rights.
  • Legal obligations: keeping records where the law requires it.

You may withdraw your consent at any time by contacting us. This does not affect processing that already happened.

4. Service providers (operators) and third parties

We don’t sell, rent or trade personal information. The website relies on these outside services, which process some information on our behalf or as part of delivering the site:

  • FormSubmit (formsubmit.co) receives what you type into the contact form and forwards it by email to our sales, info and support mailboxes. FormSubmit privacy terms.
  • WhatsApp (Meta): if you tap a WhatsApp link, the conversation takes place on WhatsApp under its own terms. WhatsApp privacy policy.
  • Cloudflare: the site is delivered through Cloudflare, which handles your IP address and technical request data to deliver pages quickly and protect the site from attacks. Cloudflare also protects the email addresses on our pages from spam bots, and your browser may send Cloudflare a report if a page fails to load. Cloudflare privacy policy.
  • Google Fonts: our typefaces are loaded from Google’s servers, so your browser shares your IP address and browser details with Google when it fetches them. Google Fonts privacy FAQ.
  • cdnjs: our icons (Font Awesome) are loaded from cdnjs, which is run by Cloudflare, so the same applies.
  • Our email and phone services: enquiries are stored in our business mailboxes and on our business phone.

We may also disclose information where the law requires it, or to protect our legal rights.

Information sent outside South Africa (section 72 of POPIA). These providers run servers in other countries, mainly the United States and Europe, so your information may be processed outside South Africa. We only use well-established providers that publish privacy commitments and are bound by data protection laws or agreements that give protection similar to POPIA. Where you choose to contact us through one of these services, the transfer is also needed to deal with your request.

5. How long we keep it

We keep enquiry information only as long as we need it to deal with your enquiry and any business relationship that follows, or for longer only where the law requires us to keep records. After that we delete it or anonymise it.

6. How we protect it

The website is served only over encrypted HTTPS connections, access to our mailboxes and devices is restricted to staff who need it, and we use reasonable technical and organisational measures to prevent loss, misuse or unauthorised access. No system is perfectly secure, but if a security compromise affects your personal information we will notify you and the Information Regulator as POPIA requires.

7. Your rights

Under POPIA you have the right to:

  • ask whether we hold personal information about you, and get a copy of it (access);
  • ask us to correct information that is wrong or out of date;
  • ask us to delete information we no longer have a lawful reason to keep;
  • object to us using your information, including for direct marketing;
  • withdraw your consent; and
  • complain to the Information Regulator.

To use any of these rights, email [email protected]. We may ask you to confirm your identity before we act on a request.

If you’re unhappy with how we handle your information, please tell us first so we can try to fix it. You may also complain to the Information Regulator (South Africa):

8. Cookies and local storage

We don’t use advertising, analytics or tracking cookies, and our own pages don’t set any cookies.

  • Cloudflare security cookies: Cloudflare may sometimes set a strictly necessary security cookie (such as __cf_bm) to tell people apart from malicious bots. It isn’t used to track you or for advertising.
  • Session storage: the home page and the Control Panel page store a simple “already shown” flag in your browser’s session storage so an introduction pop-up appears only once per visit. It contains no personal information, never leaves your device, and is cleared when you close the browser tab.

You can block or delete cookies and site data in your browser settings. The site will still work.

9. Direct marketing

We don’t send marketing messages unless you have agreed to receive them or you are an existing customer and the marketing is about similar products or services, as POPIA allows. Every marketing message will tell you how to opt out, and you can opt out at any time by emailing [email protected] or replying “STOP”. Replying to your own enquiry is not marketing.

10. Children

This website is for businesses and is not aimed at children under 18. We don’t knowingly collect children’s personal information. If you believe a child has sent us their details, contact us and we will delete them.

11. Access to information (PAIA)

Our manual under the Promotion of Access to Information Act (PAIA) is available on request from [email protected].

12. Changes to this policy

We may update this policy when our website or the services we use change. The current version will always be on this page, with its effective date at the top.
